Calendar & Scheduling
Two-way calendar sync, intake call scheduling, and consultations — all tied back to the lead they belong to so meetings, prep, and follow-up live in one place.
VerdictFlow's calendar features keep the meetings part of intake from drifting out of sync with the lead record. Connect Google Calendar or Outlook Calendar once and every intake call, consultation, and follow-up appears in both places — so your team works from a single source of truth.
What it does
- Two-way sync with Google Calendar or Outlook Calendar — events created in either place show up in the other.
- Intake / consultation scheduling tied directly to the lead record.
- Per-user calendars — each team member connects their own calendar; the lead detail page shows who's already scheduled to meet whom.
- Availability checking when scheduling so you don't double-book.
- Activity timeline integration — every meeting becomes part of the lead's timeline alongside calls, emails, and texts.
Connecting your calendar
- Open Settings → Integrations.
- Pick Google Calendar or Outlook Calendar.
- Sign in.
- Choose which calendar to sync (your primary calendar by default — most teams stick with that).
- Done.
Each team member connects their own calendar separately. Owners and admins can see who in the firm has connected one.
Scheduling a meeting from a lead
From any lead detail page:
- Click Schedule in the meetings section (or use the + Event button on the activity timeline).
- Pick the meeting type — Intake call, Consultation, Follow-up, or Other.
- Choose the date, time, duration, and (optionally) which teammates to include.
- Add a location or video link if relevant.
- Save.
VerdictFlow sends real calendar invites to every internal attendee from your connected calendar account. The event also appears on the lead's timeline so anyone looking at the lead later can see what was scheduled, what happened, and who was involved.
Two-way sync — what changes where
Sync is bidirectional, with sensible rules to keep things from getting weird:
- Created in VerdictFlow → appears on the connected user's calendar.
- Created on your calendar → appears in VerdictFlow only when the event matches a known lead (by attendee email) or when you tag it for VerdictFlow explicitly.
- Updated in either place → propagates to the other within a few minutes.
- Deleted in either place → removed from the other.
If you don't want every personal event syncing into VerdictFlow, the default is to only pull in events that touch a known lead — your private calendar stays private.
Reminders and notifications
- Calendar invites go through your real calendar, so attendees get the same reminders they'd get for any other event.
- In-app notifications show upcoming meetings on the dashboard and in the bell-icon notifications panel.
- Pre-meeting briefs can be configured (via automations) to send the lead's intake summary to the meeting owner an hour before the call.
What the lead detail page shows
Open any lead and you'll see:
- A Meetings section listing every scheduled meeting (past and upcoming) with status and attendees.
- A Schedule button to add a new one.
- The activity timeline with meetings interleaved alongside calls, emails, texts, and status changes — so the full story is in one scroll.
Consultations and intake calls
Two patterns most firms set up:
- Intake call — a 15-minute first conversation. Teams often pair this with an automation that creates a task for the assigned intake coordinator and sends a confirmation SMS to the lead.
- Consultation — a longer follow-up with a partner. Many firms gate this on the lead reaching a Qualified status, again via automation.
Both flows are just Schedule with the right meeting type — there's no separate scheduler tool to learn.
Permissions
- Connect/disconnect your own calendar — every team member.
- See another teammate's meetings on a lead — anyone with access to that lead.
- Disable sync firm-wide — owners and admins.
