Communications
Every email, text, and phone call with a lead, automatically logged on the right record — so any teammate can pick up where the last conversation left off.
VerdictFlow doesn't replace your inbox or your phone system — it sits alongside them and quietly captures the conversation. When a prospect calls, emails, or texts, the activity lands on their lead record without anyone having to copy-paste, so the next teammate to look at the lead sees the full story.
What gets captured
Once the right integration is connected, VerdictFlow logs:
- Inbound and outbound emails — subject, body, attachments, timestamp, sender/recipient.
- Calls — caller, duration, direction (inbound/outbound), call recording (when your phone provider supports it), and transcript when available.
- SMS / text messages — both sides of the conversation, with timestamps.
- Notes from your team — manual jottings the system doesn't pick up automatically.
Everything appears on the lead's Activity Timeline in chronological order, with filters to isolate just calls, just emails, etc.
Connect a mailbox and VerdictFlow matches incoming and outgoing email to leads automatically based on the email address on the lead record.
Supported providers:
- Gmail (personal Gmail accounts and Google Workspace).
- Outlook (Microsoft 365).
What you get:
- New inbound emails from a known lead show up on that lead's timeline within seconds.
- Outbound emails sent from your connected mailbox to a known lead are captured the same way — no BCC tricks required.
- Attachments come along for the ride and live on the lead's documents tab.
- Send replies from inside VerdictFlow (on the lead detail page) and they go out from your real mailbox.
If a lead emails you from a brand-new address VerdictFlow doesn't recognize, you'll see a banner letting you choose which lead to attach it to (or to create a new one).
Phone calls
Connect your phone provider and inbound/outbound calls log themselves against the matching lead.
Supported providers:
- RingCentral
- CallRail
- Aloware
- Invoca
What you get:
- Call activity (caller, callee, time, duration, direction) on the lead's timeline.
- Recordings when your provider captures them, playable directly from the lead detail page.
- Transcripts when your provider produces them — searchable across leads.
- Click-to-call from any lead detail page so outbound calls are automatically attributed.
If a call comes in from a phone number that doesn't match a known lead, VerdictFlow can either create a new lead automatically or surface the call in an "unmatched" queue for triage — your choice in Settings → Integrations.
SMS / text messages
Texts work the same way as calls — connect a provider that supports SMS, and the conversation lands on the lead's timeline.
Supported via: RingCentral, Aloware (any provider whose API supports outbound SMS in your account).
What you get:
- Both sides of every text conversation logged on the lead.
- Send a text from inside VerdictFlow on the lead detail page.
- Automations can send templated SMS (e.g. "thanks for reaching out, we'll call in 30 minutes") on a status change or after a delay.

- Handoffs are trivial — when one teammate hands a lead to another, the new owner sees every conversation that's happened so far without asking.

Connecting a provider
- Open Settings → Integrations.
- Find your email or phone provider.
- Click Connect and sign in to that service.
- Confirm what you want VerdictFlow to capture (some providers expose toggles for recordings, transcripts, etc.).
- Done. Activity starts flowing on the next inbound or outbound communication.
You can disconnect any provider at any time from the same page. Historical activity stays on the leads where it was logged; only new sync events stop.
Automations and templates
Communications double as triggers and actions for automations:
- Trigger when an inbound email or call arrives, or when a lead has had no contact for X hours.
- Action to send templated emails or SMS — managed under Settings → Email & SMS Templates so you can centralize wording.
Pair this with process automation to set up multi-touch follow-up sequences that run themselves.
Permissions
- See communications on a lead — anyone with access to that lead.
- Send a communication from inside VerdictFlow — requires having a connected provider for your own user.
- Connect or disconnect a provider for the firm — owners and admins.
