Sending Referrals
Step-by-step guide to sending referrals to partner firms through VerdictFlow.
When you have a qualified lead that's a better fit for another firm, VerdictFlow makes it easy to send a referral with all the relevant information.
Prerequisites
Before sending a referral:
- Lead must be in your system
- Lead status should be Ready for Referral
- You should have a partner firm in your network
Sending a Referral
Step 1: Open the Lead
- Navigate to Leads
- Find and click on the lead you want to refer
- Verify the lead information is complete
Step 2: Click Refer
On the lead detail page, click the Refer button in the actions area.
Step 3: Select Partner Firm
In the referral modal:
- Search or browse your network
- Click on the firm you want to send to
- Review firm details and practice areas
Step 4: Configure Fee Sharing
Review and adjust fee terms:
- Fee Percentage - Auto-filled based on your fee settings
- Fee Sharing Enabled - Toggle if this referral includes fee sharing
- Notes - Add any special terms or notes
The fee percentage is automatically determined using this hierarchy:
- Partner + Case Type rate - Most specific (e.g., "Smith Law" + "Personal Injury" = 40%)
- Partner default rate - If set for this partner
- Account default rate - Your firm's global default
- System default - 33% if nothing else configured
You can override the suggested rate for this specific referral if needed. The source of the suggested fee is displayed so you know where it came from.
Step 5: Add Referral Notes
Include helpful information for the receiving firm:
- Why you're referring this case
- Special considerations
- Client expectations
- Urgency level
Step 6: Review and Send
- Review all information in the summary
- Verify fee sharing terms
- Click Send Referral
What Happens After Sending
Immediate Actions
- Lead status changes to Referred
- Partner firm receives notification (email and in-app)
- Referral appears in your Sent Referrals list
- Activity logged on the lead timeline
Partner Receives
The partner firm sees:
- Lead contact information
- Case details and description
- Your referral notes
- Fee sharing terms
- Accept/Decline buttons
Tracking Status
Monitor your referral in the Referrals section:
- Pending - Waiting for partner response
- Accepted - Partner accepted the case
- Declined - Partner declined
Referral Notifications
You Receive Notifications When:
- Partner accepts your referral
- Partner declines your referral
- Partner requests more information
- Case status updates (if shared)
How Partners Are Notified:
- Email notification with referral details
- In-app notification (if they use VerdictFlow)
- Summary of lead and fee terms
Fee Sharing Agreement
If fee sharing is enabled:
- Automatic Generation - Agreement auto-generates from your template
- Review Period - Both parties can review terms
- E-Signature - Sign electronically within VerdictFlow
- Document Storage - Signed agreement stored with the referral

Special Scenarios
Declining to Set Fee
If you don't want fee sharing on a particular referral:
- Toggle off Fee Sharing Enabled
- Add a note explaining the arrangement
- No agreement will be generated
Emergency/Urgent Referrals
For time-sensitive referrals:
- Mark priority as High in the referral notes
- Consider calling the partner directly
- Follow up in VerdictFlow to document
Referring to Multiple Firms
If you want to offer the case to multiple firms:
- Send to your first-choice firm
- If declined, refer to the next firm
- Each referral is tracked separately
Best Practices
Before Referring
- Verify lead info - Ensure all details are accurate
- Screen appropriately - Confirm the case is right for the partner
- Check firm profile - Verify practice areas match
In Your Notes
- Be specific - "Personal injury, car accident, $50K+ in medicals"
- Mention urgency - "Statute runs in 3 months"
- Set expectations - "Client expects call within 24 hours"
After Referring
- Follow up - If no response in 48 hours, reach out
- Keep client informed - Let them know the referral was made
- Document - Log any additional communications
Canceling a Referral
If you need to cancel a pending referral:
- Go to Referrals → Sent
- Find the referral
- Click Cancel Referral
- Provide a reason
- Partner is notified of cancellation
You can only cancel Pending referrals. Once accepted, discuss directly with the partner.
Troubleshooting
Partner Can't Find Referral
- Verify their email address is correct
- Ask them to check spam folder
- Resend the notification from the referral detail page
Wrong Firm Selected
- Cancel the referral (if still pending)
- Create a new referral to the correct firm
Fee Terms Need Adjustment
- Contact the partner to discuss
- Update fee settings for future referrals
- Note any special terms on the current referral
